As the Team Administrator you will be an integral member of the Transportation team working autonomously in the Auckland office. The role is open to Senior or Principal level applicants who can display the ability to manage resources across multiple workstreams with a minimum of 8 years experience.
The ideal applicant will have experience in business development, internal Marketing & Workshare, Bids & opportunities, Recruitment and project leadership/ management.
Day to day duties are as follows:
Leadership & Management
- Ensure smooth running of the office from an administration perspective.
- Provides support to Transport & GET Team Leaders and CAM Managers, including diary management, support with expense claims, meeting organisation etc.
- General administration – org chart, promoting safety observations, organising and approving training.
- Attendance/representation at internal meetings e.g. Transport & GET TL meetings.
- General support and development of improvement initiatives e.g. Wellbeing and Agile Working
- Work closely with HR regarding support to the business for onboarding of new employees, including day 1 induction plans and execution where necessary. Ensure logistics for new team members e.g. desk, mobile, computer and undertake necessary induction on AECOM systems.
- Support event co-ordination for the business.
- Assist with office support activities.
- Provide support with travel requests for Team Leaders; where necessary processing through the travel system.
Business Development
- Supporting proactive business development with AT, WK & AIAL
- Preparing tailored presentations for these sessions & briefing the team to ensure a polished presentation
- Owning a BD calendar for Transport & GET that aims at ensuring the right level of interaction with clients and widening our exposure
Internal Marketing & Workshare
- Working with Marketing to monitor award nominations and drafting of submissions for awards – for projects and team members
- Supporting better interdepartmental & regional coordination and planning
Bids & opportunities
- Ensuring salesforce is proactively updated for Transport & GET opportunities (a salesforce licence will be provided)
- Supporting bids & proposals, including CVs, bios, project writeups etc.
- Preparing database of ESG writeups on our projects (i.e. one example on every project we have) for use in bids and marketing
- Monitoring opportunities and supporting CAM managers
Recruitment
- Raising requisitions on Workday
- Writing/reviewing Positions Descriptions and Adverts
- Reviewing and responding to queries from the recruitment team/processing of applicants
- General brainstorming, LinkedIn searching for known people to fill the open roles we have
Projects
- Attend project based resourcing discussions, representing Transport & GET – feeding this back into the overall groups resourcing. This includes actioning both recruitment & workshare opportunities
- Support PMs with internal project reporting, including ad-hoc attendance at governance meetings & supporting the PM in preparation for the governance meetings (including C1 & C0 reviews)
About You
- Proven minimum 8-10 years’ experience in supporting and leading teams or initiatives;
- Ability to manage resources across multiple work streams;
- Experience in presenting to large forums.
Relevant Business Administration Qualification would be desirable
