About the Role


Job Purpose:

Facilitates and coordinates all secretarial and administrative functions to ensure the smooth running of the office of the Supervisor /Head of School/HR . Acts as an ambassador to the school and performs in an efficient, professional, and confidential manner all job duties.

Job Scope:

Responsible for managing all secretarial functions of the office of Supervisor/Head of school/HR .

  • Ensure the GEMS policies, procedures, and codes of conduct are followed at all times.
  • Initiate effort and energy beyond the typical work day, where the tasks require additional commitment.
  • Maintain high quality communication from and within the school office. Liaise with tact and diplomacy with school staff, parents and representative of the GEMS Corporate Office.
  • Generate and process daily office e-mails, telephone calls and faxes
  • Perform a wide variety of general secretarial duties including the maintenance of accurate and detailed records, databases, and filing systems.
  • Maintain Supervisor/Head of School's appointment calendar as well as all his/her professional communication and public relations needs.
  • Compile information from various sources to generate reports; prepares, collate and distribute weekly, monthly and annual reports as required.
  • Review and update all documentations, calendars and all school related activities. Organize and coordinate office management activities and oversees school events. Communicates information to faculty, staff, parents, and students.
  • Assist HR in date to day HR operations and manage HR work in the absence of HR.
  • Attend staff meetings and serves on committees as required.
  • Shortlisting candidates and arranging interviews for supervisor/Head of School
  • Perform other duties as requested by direct & dotted reporting line managers / supervisors.
  • Manage staff attendance and leave forms for the staff reporting to Supervisor/Head of School
  • Assist HR with employee onboarding process.

  • Excellent English skills (written and spoken)
  • Positive interpersonal and communication skills
  • Problem solving approach
  • Technical and computer skills required for data entry and deadline monitoring
