Medical Operations Assistant will support and coordinate all operations procedure of Medical department and general administration to implement smooth execution of medical activities

As a Medical Operations Assistant role will provide the opportunity to lead key activities to progress career. These responsibilities include some of the following:

  • Logistic arrangement for Medical-led non-promotional activities including but not limited to venue sourcing, working with 3rd party vendors for technical/ printing/ designing service, travel arrangement for HCPs, contracts and payments to External Experts (EE) and HCO and 3rd party vendors. Provide support for delivery of medical activities as required for new product launch preparation.
  • Manage budgeting/ accruals on medical activities for the medical team to ensure that all activities are being conducted within the defined budget and timelines and take necessary action (if required) wherever accruals are required.
  • Create job and archive internal/ external materials of Medical Department to system where required for review and approval. Provide the extract of Content Lab report for periodic Management Monitoring.
  • Records Management and Archiving (RMA): support LOC RMA Lead and ensure Medical Affairs archived records are proactively maintained and must be destroyed in a secure manner at the end of retention period except those records impacted by a legal preservation.
  • Travel and Entertainment: Logistic arrangement for both local & oversea business trip of Medical and GSK Medical guests. Contract, Purchase Order (PO), clearing AMEX expenses, claiming expenses, and preparing payment for all expenses with keeping the related documents/ evidence.
  • Other logistics: photocopy/ print handouts, logistics arrangement for Medical's meeting/ workshop and internal events, Calendar management of Medical Director, translating documents, preparing slide set, monitoring tracking…

Why you?

Basic Qualifications:

  • Bachelor degree , Administration, Event Management or equivalent
  • At least 2-year experiences in administrations role, prefer working in pharmaceutical companies.

Preferred Qualifications:

If you have the following characteristics, it would be a plus:

  • Sufficient English communication and Computer skills.
  • Expert in events organize and office administration tasks.
  • Working with high responsibility & carefulness.
  • Good communication and inter-personal skills. Ability to support and challenge at the same time senior leader.
  • Highly organized and strong precision, strong planning skills
  • Self-driven with attention to details, strong execution skills
